Who we are

QlintAI is an AI work assistant for teams that handle customer support by email. This policy explains what data the service processes, why, and what control you have over it. For anything not covered here, contact us at privacy@qlintai.com.

Data we process

  • Account data. Your name, email address and the workspace you belong to, used to authenticate you and to keep your data separated from other organisations.
  • Mailbox data. If you connect Gmail or Microsoft 365, we process the email conversations needed to triage cases and prepare reply drafts: sender and recipient addresses, subjects, message bodies, timestamps and thread structure.
  • Knowledge you upload. Documents and answers your team adds so drafts can be grounded in verified company information.
  • Operational logs. Security and audit records of significant actions. These records deliberately exclude message content, recipient data and credentials.

Why we process it

We process this data solely to deliver the service you asked for: triaging incoming email, retrieving relevant context and knowledge, preparing reply drafts for a human to review, and tracking commitments and follow-ups. We do not sell your data, and we do not use it for advertising or profiling.

Google user data and Limited Use

When you connect a Google account, QlintAI requests permission to read your Gmail messages, create drafts and send messages you have approved. QlintAI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • Google data is used only to provide and improve the features you see in QlintAI.
  • We do not transfer Google data to others except as needed to run the service, for security, or where the law requires it.
  • We do not use Google data for advertising.
  • No human reads your Google data except with your explicit permission, for security purposes, to comply with the law, or on aggregated and anonymised data for internal operations.

Signing in with Google creates or opens your QlintAI account. Mailbox access is a separate permission you grant during onboarding, and you can withdraw it at any time from your Google Account permissions page or from within QlintAI.

Microsoft 365

Microsoft 365 mailboxes are handled on the same terms: access is granted explicitly, used only to deliver the service, and revocable at any time from your Microsoft account or from within QlintAI.

AI processing

To classify a case and prepare a draft, relevant parts of a conversation and your approved knowledge are sent to our AI model provider. That content is processed to return a result to you and is not used to train third-party models. Every draft is a suggestion: no reply is sent to a customer until a person has reviewed and approved it.

Storage, security and retention

Data is stored in our managed database with row-level access rules that keep each workspace isolated. Mailbox credentials are encrypted at rest and never exposed to the browser. We keep your data for as long as your workspace is active. When you disconnect a mailbox, we stop syncing it; when you delete your workspace, associated data is removed.

Sub-processors

We rely on a small number of providers to run the service: a cloud database and authentication provider, an application hosting provider, and an AI model provider. They process data on our instructions only.

Your rights

You can request access to, correction of, export of, or deletion of your personal data, and you can object to or restrict processing. Write to privacy@qlintai.com and we will respond within 30 days.

Changes to this policy

If we make a material change we will update the date at the top of this page and notify workspace administrators. See also our Terms of Service.
